Core Components

AI Sales Service is built around five main components that work together to automate your sales outreach:

1. Leads

Leads are your target audience - potential customers you want to reach. Leads are organized into Datasets for easy management.

Each lead contains:

• Contact information (email, name, company)
• Score - AI-calculated likelihood to convert
• Stage - Position in your sales pipeline

2. Knowledge Bases

Knowledge Bases store your business data that AI uses to generate personalized, accurate communications. This includes:

• Product catalogs and pricing
• Company website content
• FAQs and common objections
• Case studies and testimonials
• Any information relevant to your products/services

The AI references this knowledge when crafting emails, ensuring messages are relevant and accurate to your business.

3. AI Agents

AI Agents are automated team members that handle campaign communications. Each agent can be configured with specific behaviors and personalities.

Key rules:

• Each Sales Manager can have up to 10 AI Agents
• One AI Agent handles one campaign at a time when running
• Agents can be reassigned after a campaign completes

4. Campaigns

Campaigns are sales outreach programs that combine all components above. Each campaign has:

• Lead Dataset - Who to contact
• Knowledge Base - What information to use
• AI Agent - Who handles the communication
• Email Account - Which email to send from
• Campaign Instructions - How to handle each email type

Campaign Instructions

Each campaign defines its own AI instructions for:

• Cold emails - Initial outreach
• Follow-ups - When no reply received
• Closing emails - Final attempt before marking cold
• Reply handling - How to respond to incoming messages

Campaign Statuses

• Draft - Being configured
• Ready - Configured, awaiting launch
• Running - Actively sending emails
• Paused - Temporarily stopped
• Finished - Completed all outreach

Organization Settings

AI Configuration in Settings applies organization-wide defaults:

• AI response language preference
• Temperature (creativity level)
• Default tone and style

These are baseline settings. Campaign-specific instructions override these when needed.

How It All Works Together

The Flow:

1. Leads → Target contacts for your campaign
2. Knowledge Base → Business context for personalization
3. AI Agent → Generates emails using knowledge + instructions
4. Email Account → Delivers messages to leads
5. Campaign → Orchestrates everything with custom instructions
